Data and Sample Retention Policies

The following policies outline how GTAC@MGI handles fee for service data and excess sample retention.

GTAC@MGI Data Retention Policy

Fee-for-service data is available for immediate download for 2 to 4 weeks after it is generated. We strongly recommend transferring your files to long-term storage as soon as possible.

After the initial 2-4 week period, data is moved from local systems to archival cloud storage. As a courtesy to our customers, we maintain a copy of the sequence data for one year. This policy is intended for disaster recovery rather than as a long-term storage solution. While requests can be made to recover data within the one-year window, retrieval fees will apply.

All data is permanently deleted from archival storage after one year. Retention timelines are estimates and may vary based on project characteristics, storage capacity, operational needs, and applicable agreements. GTAC@MGI reserves the right to modify these practices without notice. Customers are responsible for downloading and maintaining their own long-term copies of all delivered data.

GTAC@MGI Sample Retention Policy

Unless as previously specified within a contractual agreement, we will maintain excess samples for at least 120 days after generation of your data.

If you would like to have these materials returned, please contact us after you receive your data in order to schedule a day and time for pickup.

For researchers outside of Washington University, please provide advanced notice for the return shipment of excess samples. Requests for immediate collection or shipment of excess materials cannot be accommodated.

After the 120 day window, excess materials will be destroyed.
